Neurohub Australia (formerly Neuroverse Kids), Neurohub Australia Pty Ltd, ABN 89 670 431 053 ("we", "us", "our") is committed to protecting your privacy and the privacy of the children and families we support. This policy explains how we collect, use, store, and disclose personal and health information, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
The information we collect
We collect personal and health information necessary to provide our services, including: names, dates of birth, and contact details; information about a participant's diagnosis, development, needs, and goals; NDIS plan and funding details; emergency contact details; and clinical records created in the course of providing therapy and support. Where we provide services to children, we collect this information from parents, guardians, or authorised representatives.
We collect this information directly from you wherever possible — through our referral and enquiry forms, in conversation, and during sessions. Sometimes we may collect information from others involved in a participant's care, such as a support coordinator, plan manager, or another health professional, with appropriate consent.
Why we collect it
We use this information to: assess suitability and plan support; deliver occupational therapy, physiotherapy, early childhood intervention, therapy assistance, and support work; communicate with you and others involved in care; process invoicing and funding claims; meet our professional, legal, and record-keeping obligations; and improve our services. We will not use your information for a purpose you wouldn't reasonably expect without your consent.
When we share information
We may share information with: members of our team involved in providing care; plan managers and funding bodies for invoicing and claiming purposes; other health or education professionals involved in a participant's support, with consent; and our practice management and software providers who store data securely on our behalf. We may also disclose information where required or authorised by law.
We do not sell personal information, and we do not disclose it to third parties for marketing.
How we store and protect it
We store information securely, using a combination of electronic and physical safeguards. Our clinical and client records are held in [practice management system — e.g. Splose], a secure practice management platform. We take reasonable steps to protect information from misuse, loss, and unauthorised access, and we retain health records for the period required by law.
Accessing and correcting your information
You have the right to request access to the personal and health information we hold about you or your child, and to ask us to correct it if it is inaccurate. To make a request, contact our Privacy Officer using the details below. We may need to verify your identity, and in limited circumstances permitted by law we may decline access, in which case we'll explain why.
Making a complaint
If you believe we have mishandled your information, please contact us first so we can try to resolve it. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.
